“Our AP solution allowed us to process over 1.2 million invoices annually with 100 people.”
Mortgage Lender
“Documents are money for our company. If we cannot substantiate a claim, we are forced to write it off. With PBT’s assistance, we have robust document and process management solutions that help us meet the business requirements of multiple departments, and make good bottom line decisions.” - DMS Supervisor, adidas Group
PBT’s Cross Industry Solutions address business processes common to most companies. While the process may be common, PBT works with each customer to configure and address activities specific to the particular requirements of the organization. BPM-enabled AP allows our customers to achieve several
universally important business goals.
The first is a lower cost of operations; companies can
manage an increase in payables, without a commensurate increase
in resources, because BPM replaces manual approval and routing
functions with automated access to prioritized invoices.
The second is better control over Payables through
visibility into liabilities and accruals of unapproved invoices,
configurable approval thresholds as well as online audit of
approved invoices prior to payment.
The third is improved vendor relationships. A secure
vendor portal enables direct submission of invoices and the
opportunity to inquire on payment status. Calls to AP are
dramatically reduced and vendor self-service becomes the norm
which results in business benefit to both parties.
Expenses are a frequent source of problems: problems
with documentation, with approvals, with expeditious payment.
PBT’s award winning Expense solution addresses these problems
with an elegant, robust and configurable content and process
management solution that leverages fax, email and your ERP
system to deliver benefits second to none.
Records Management addresses the collection and maintenance
of documents received throughout the organization on a variety
of media. While electronic documents are supposed to expedite
processing, most companies find it difficult to effectively
organize and present information on various media in a coherent
manner. As a consequence, many print electronic documents then
wait until the initiating business process is complete to
digitize and archive documents for future reference.
Consider how online access to secure versions of
company documents could expedite decision-making, improve the
efficiency of numerous business processes and facilitate
compliance with regulatory and internal records management
protocols.
PBT’s configurable Records Management Solution creates
an electronic folder in which all media types pertinent to a
business transaction can be organized. Business users may be
active participants in the process, restricted to specific data
and documents, or have view only rights. Document integrity is
maintained across the organization while giving customers and
participants immediate access to relevant business documents.
Claims management requires the collection of data and
documents associated with a specific business transaction or
contract from an invoice credit claim, to life insurance,
disability, unemployment, auto, property, medical, or retirement
benefit claim. In each instance, claim receipt initiates the
process while existing business documents determine claim
resolution.
Content and process management allow your company to initiate a
claim folder upon claim receipt, to automatically collect and
add appropriate documents to the folder, to configure work
priority and distribution based on claim attributes, and to
integrate resolution outcomes with your ERP system.
Automated claim resolution eliminates paper management tasks
delivering significant economies of scale. It improves claim
turnaround and facilitates procedural compliance through
customer established approval thresholds and task lists.
Customer/client email responses are automatically generated
which include the attachment of documents that substantiate
claim outcomes.
PBT's Sector Specific Solutions address business processes unique to particular industries. PBT works with each customer to identify the documents and activities that drive the sector solution. Together, we reconfigure processes to achieve bottom line results by improving the user experience; we make it both easier and more interesting to do your job. PBT provides content and process management solutions to
manufacturers and retailers for deduction resolution and trade
payables.
It is estimated that between 12 and 30% of supplier costs are
monies paid to retailers in the form of trade spend. Knowing
what constitutes effective trade spend and properly managing it
is critical to the supplier in terms of ROI and to the retailer
in terms of revenue. PBT solutions address both sides of the
coin.
Problem Indicators for CPG Manufacturers
| Increases in: | Inability to: |
|---|---|
| - Unapproved deductions | - Efficiently access resolution documentation |
| - Days Sales Outstanding (DSO) | - Reconcile marketing spend to deductions |
| - Deduction resolution turnaround | - Prioritize deductions for resolution |
| - Sales/Receivables antagonism | - Manage deduction volume |
Deduction Resolution is the process by which CPG and apparel
Manufacturers monitor and resolve customer deductions from gross
sales. It affects customer satisfaction and retention as well as
the manufacturer’s internal departmental relationships, the
brand, and the bottom line. PBT’s DRM solution employs content
and process management to bridge the information and process
gaps in the customer to cash cycle.
DRM generates the claim folder from the AR Deduction report,
collects supporting documents, prioritizes and distributes
claims based on customer configured attributes and transparently
synchronizes resolution outcomes with the ERP system.
Our solution gives your company the information and processes it
needs to address both the dispute management aspect of
deductions which may reduce revenue by 10% or more, as well as
the trade promotion component, which typically averages 15% of
revenue.
Trade Payables is the AP function that pays for goods
purchased by a retailer for resale. An invoice is received,
matched with the purchase order and receiving documents and all
or a portion of the invoice is paid based on the outcome of the
match process.
PBT adds significant value to your AP function by giving you the
tools to automatically collect, assess and present the data and
documents relevant to the match process using content
management. The ‘documents’ you collect may be electronically
generated from a report, scanned, faxed or received via email;
the medium no longer matters because content management supports
the creation of an electronic folder based on your requirements.
The second component of Trade Payables is process management:
the application of your business rules to facilitate work
distribution and prioritization, route work per established
payment protocols, and insure compliance with monetary and
approver thresholds.
Vendor Deal Management is an important component of Trade
Payables. VDM helps retailers plan, negotiate, execute, monitor
and recoup Manufacturer or Supplier discounts for in store
product promotions. It affects retailer/ vendor relationships,
revenue, margins, the brand, SG & A costs and consumer
satisfaction.
In addition to deal sheets, retailers face issues with pricing
and pricing updates, deal resolution timing, inconsistent
reconciliation processes across stores and access to sales
history. With PBT’s Vendor Deal Management, you can configure
and deploy a solution that helps leverage your existing Trade
Payables applications while adding content and process
management to improve vendor deal administration.
PBT’s VDM solution uses content management to collect and manage
documents relevant to a deal. It interfaces with the ERP system
for real time allowances – no more recovery audits – improving
cash flow and lowering administrative costs. Process management
helps insure company-wide practice compliance by establishing
standard workflows across stores to facilitate real-time
reconciliation.
Insurance is a document driven sector that requires paper
confirmation of a request to purchase service i.e. an
application, health history, employment verification etc.; as
well as documentation to support a reimbursement request i.e. a
death certificate, claim, receipts and medical records.
PBT’s content and process management solutions automate
insurance workflows and eliminate the costs associated with
managing paper.
PBT’s Insurance solution templates range from front end
administrative processes to claim adjudication and all points in
between, including agent set-up, cash management and
correspondence. PBT’s success in the Insurance sector is based
on our understanding of the volume, cash flow, access and
turnaround issues our customer’s face. Our solutions support
multi-threaded administrative processes to improve cash flow.
Configurable protocol compliant processes expedite departmental
hand-offs and reduce risk.
We leverage and communicate with existing administrative,
underwriting, cash management and policy generation systems and
maximize efficiency by insuring that application or claim
content is complete and available before presenting work for
processing.
A Medical Review is initiated when a claimant appeals a
benefit decision or when system adjudication is unsuccessful
because plan coverage terms and delivered services are
discrepant.
PBT’s Medical Review Solution applies BPM to reviews from
initiation through resolution, including notification, appeals,
determination, compliance and quality assurance. Content
management allows the insurer to identify the data and documents
required to resolve a claim in review and to identify the
factual basis for the outcome. It associates the claimant or
provider response with the insurer’s request for information,
eliminating manual follow-up.
Process management categorizes screening criteria and required
next steps, insuring compliance with review, appeal and
grievance procedures as well as contract terms, schedules and
state guidelines. It also insures that reviews are conducted by
certified staff in a timely manner by comparing user profiles to
company configured work distribution and prioritization
requirements. If the Medical Review process is putting your
company at risk, BPM may be the answer.
PBT’s Public Sector solutions drive services costs down and quality up by replacing manual processes with automated processes and making documentation accessible to the people who need it.
“Our BPM solution has completely
transformed the way we work. We’re saving about $400,000 a year
just as a result of eliminating the time spent by staff
retrieving paper documents.”
Manager By-law Administration, Vancouver, B.C.
PBT has broad-based public sector experience from city
government departments responsible for permitting, licensing,
engineering and housing, to state agencies responsible for
retirement and unemployment to public universities and Medicare
administration. Deployed solutions range from general operations
to specific services but the goal is always the same:
improve customer service and reduce cost. And to our
customer’s credit, the solution outcomes always do.
Every public sector solution deployment has resulted in the
elimination of processing backlogs and lost documents; the
opportunity to refocus resources from clerical to analytical
tasks; the elimination of callbacks due to the inability to
access information; the ability to process additional requests
with no commensurate increase in staff; better customer service
measured by dramatic improvements in request turnaround; and
improvements in the clarity and consistency of business
communications.
The Permitting solution at the City of Vancouver focused on
improving Inspector productivity by addressing content and
process issues.
PBT’s Pension solution uses content and process management to
help state, county and local authorities administer retirement
plans for public safety officers, educators, judges and other
government employees. From the initial enrollment application to
the payout of death benefits, pension management is a series of
form driven processes, so as form volumes increase, so do
services costs.
The only proven way to lower costs and improve member service is
to apply content and process management: to substitute
transparent, automated functions for form handling tasks; to
replace manual work evaluation, distribution and prioritization
with user-configured business rules; and to exchange processing,
approval and quality assurance functions with criteria based
compliance routing.
PBT’s application of content and process management to
transaction based retirement systems has repeatedly demonstrated
the power of BPM to deliver exponential improvements in member
services. BPM helps eliminate request backlogs and member
callbacks, increases process accuracy, supports member
self-service and delivers clear, consistent and compliant
pension administration outcomes.
