Accounts Payable & Expenses

BPM-enabled AP allows our customers to achieve several universally important business goals.

The first is a lower cost of operations; companies can manage an increase in payables, without a commensurate increase in resources, because BPM replaces manual approval and routing functions with automated access to prioritized invoices.

Records Management

Records Management addresses the collection and maintenance of documents received throughout the organization on a variety of media. While electronic documents are supposed to expedite processing, most companies find it difficult to effectively organize and present information on various media in a coherent manner. As a consequence, many print electronic documents then wait until the initiating business process is complete to digitize and archive documents for future reference.

Claims Management

Claims management requires the collection of data and documents associated with a specific business transaction or contract from an invoice credit claim, to life insurance, disability, unemployment, auto, property, medical, or retirement benefit claim. In each instance, claim receipt initiates the process while existing business documents determine claim resolution.

Content and process management allow your company to initiate a claim folder upon claim receipt, to automatically collect and add appropriate documents to the folder, to configure work priority and distribution based on claim attributes, and to integrate resolution outcomes with your ERP system.

Automated claim resolution eliminates paper management tasks delivering significant economies of scale. It improves claim turnaround and facilitates procedural compliance through customer established approval thresholds and task lists. Customer/client email responses are automatically generated which include the attachment of documents that substantiate claim outcomes.

CONSUMER PACKAGED GOODS

PBT provides content and process management solutions to manufacturers and retailers for deduction resolution and trade payables.

It is estimated that between 12 and 30% of supplier costs are monies paid to retailers in the form of trade spend. Knowing what constitutes effective trade spend and properly managing it is critical to the supplier in terms of ROI and to the retailer in terms of revenue. Deduction Resolution is the process by which CPG and apparel Manufacturers monitor and resolve customer deductions from gross sales. It affects customer satisfaction and retention as well as the manufacturer’s internal departmental relationships, the brand, and the bottom line. PBT’s DRM solution employs content and process management to bridge the information and process gaps in the customer to cash cycle.

DRM generates the claim folder from the AR Deduction report, collects supporting documents, prioritizes and distributes claims based on customer configured attributes and transparently synchronizes resolution outcomes with the ERP system.

Our solution gives your company the information and processes it needs to address both the dispute management aspect of deductions which may reduce revenue by 10% or more, as well as the trade promotion component, which typically averages 15% of revenue.

Retail: Trade Payables

Trade Payables is the AP function that pays for goods purchased by a retailer for resale. An invoice is received, matched with the purchase order and receiving documents and all or a portion of the invoice is paid based on the outcome of the match process.

PBT adds significant value to your AP function by giving you the tools to automatically collect, assess and present the data and documents relevant to the match process using content management. The ‘documents’ you collect may be electronically generated from a report, scanned, faxed or received via email; the medium no longer matters because content management supports the creation of an electronic folder based on your requirements.

The second component of Trade Payables is process management: the application of your business rules to facilitate work distribution and prioritization, route work per established payment protocols, and insure compliance with monetary and approver thresholds.

Retail: Vendor Deal Management

Vendor Deal Management is an important component of Trade Payables. VDM helps retailers plan, negotiate, execute, monitor and recoup Manufacturer or Supplier discounts for in store product promotions. It affects retailer/ vendor relationships, revenue, margins, the brand, SG & A costs and consumer satisfaction.

In addition to deal sheets, retailers face issues with pricing and pricing updates, deal resolution timing, inconsistent reconciliation processes across stores and access to sales history. With PBT’s Vendor Deal Management, you can configure and deploy a solution that helps leverage your existing Trade Payables applications while adding content and process management to improve vendor deal administration.

PBT’s VDM solution uses content management to collect and manage documents relevant to a deal. It interfaces with the ERP system for real time allowances – no more recovery audits – improving cash flow and lowering administrative costs. INSURANCE

Insurance is a document driven sector that requires paper confirmation of a request to purchase service i.e. an application, health history, employment verification etc.; as well as documentation to support a reimbursement request i.e. a death certificate, claim, receipts and medical records.

Medical Review

A Medical Review is initiated when a claimant appeals a benefit decision or when system adjudication is unsuccessful because plan coverage terms and delivered services are discrepant.

PBT’s Medical Review Solution applies BPM to reviews from initiation through resolution, including notification, appeals, determination, compliance and quality assurance. Content management allows the insurer to identify the data and documents required to resolve a claim in review and to identify the factual basis for the outcome. It associates the claimant or provider response with the insurer’s request for information, eliminating manual follow-up.

Process management categorizes screening criteria and required next steps, insuring compliance with review, appeal and grievance procedures as well as contract terms, schedules and state guidelines. It also insures that reviews are conducted by certified staff in a timely manner by comparing user profiles to company configured work distribution and prioritization requirements.
